How to respond thoughtfully to customer reviews
A review is a public account of one customer experience. A useful response shows that the business listens, gives future customers helpful context and protects the customer's privacy.
Read the review before choosing a response
Separate the customer’s facts, feelings and requested outcome. Check the relevant order, appointment or conversation only when you can do so safely and lawfully. Do not guess about details that are not clear from the review.

Never post contact details, account information, health information or other personal data in a reply. If more context is needed, invite the customer to use a current private channel and explain what reference information will help your team find the case.

Repeated questions can show where service descriptions, hours, categories or contact guidance need to be clearer. Update the source information when the business changes instead of using review replies to make broad claims that visitors cannot verify.
Set a consistent review process
Agree who can respond, when an issue should be escalated and how sensitive cases are handled. A simple process helps replies stay respectful and accurate even when the business is busy.
